They are looking for a reliable, proactive, and resourceful, HIGH Level Executive Assistant to directly support the CEO and help keep the business running smoothly behind the scenes.
Role Summary:
As Executive Assistant to the CEO, you’ll serve as the client’s right-hand partner—keeping her organized, on time, and supported in both administrative and customer-facing tasks. You’ll play a key role in communication, scheduling, travel coordination, and member support. This is a remote independent contractor role requiring exceptional attention to detail, self-motivation, and a warm, professional presence.
Key Responsibilities
- Manage the CEO’s inbox and respond to emails with discretion and accuracy
- Own calendar management and appointment scheduling
- Coordinate travel logistics (flights, hotels, ground transportation)
- Prepare documents, emails, and correspondence on behalf of the CEO
- Provide concierge-level support to members and partners
- Organize and maintain digital files and documentation
- Monitor and assist with team meeting agendas, especially when the PM is absent
- Collaborate with Project Manager and team on execution of daily operational tasks
- Take initiative to learn company tools and systems (e.g., ContentFries, GoHighLevel)
- Perform ad hoc executive administrative tasks as needed
- Help with event tasks, support ongoing projects, send recaps or reminders, and ensure deliverables are completed on time
Qualifications:
- 2–3 years of proven experience as an Executive Assistant
- Excellent written and verbal English communication skills
- Strong organizational and time management abilities
- Familiarity with tools like Google Workspace, Zoom, Slack, Asana (or similar)
- Proficiency in GHL and ClickUp will be considered a plus
- Friendly, efficient, and professional attitude toward members and colleagues
- Able to work flexible hours that align with U.S. time zones when needed
- Proactive, adaptable, and solutions-oriented
- Internet connection and work setup suitable for consistent remote work
EXPECTATIONS:
- Maintain a well-organized and prioritized email inbox for the executive, ensuring that important communications are addressed promptly and unnecessary emails are minimized
- Effectively manage and update the client’s schedule, proactively address conflicts, and ensure smooth coordination of appointments for optimal operations
- Provide comprehensive and proactive administrative support that enhances the productivity and efficiency of the executive and the team
Job Offer and Benefits:
- This is a full-time position with working hours aligned to the Eastern Time Zone (ET)
- Compensation: Starting at $7.50 per hour, with the potential for an increase after successful completion of the probation period
